This role serves as the key point of contact for handling & managing talent bookings, ensuring the right people are booked accurately for the right shoot at the right time. Collaboration is essential, as we deliver for clients to the highest Spring standards. The Talent Coordinator plays an essential role in ensuring the bookings follow a seamless process, so the SLT have the right visibility across projects. The role is integral in ensuring our freelance spend remains managed and within budget, as well as maintaining compliance around freelance contracts.

 

The position acts as an operational pivot across various departments, to ensure communication, collaboration and stronger processes overall.

 

Success in this role requires attention to detail, strong teamwork, and a proactive, solution-oriented mindset. The ideal candidate is highly organised and remains calm under pressure.

Job Responsibilties

 JOB RESPONSIBILITIES:

 

Talent Management

  • Work closely with Shoot Producers to capture & input of all bookings into our bookings tool

  • Proactively communicate with talent to formalize booking, gain contract information and notify of updates

  • Document talent contract & billing information

  • Talent onboarding & offboarding

  • Be the main point of contact for talent contract & invoice queries

  • Support finding new talent and expanding roster as needed

 

HR

  • Facilitate bookings & contractual compliance

  • Produce and manage all contractual paperwork for all freelance ecommerce teams

  • Manage IR35 compliance through CEST testing, providing SDS to freelancers

  • Ensure approvals in place for bookings are made, and HR are notified in advance Manage and ensure correct contract type for each booking

  • Managing start & end dates accurately

  • Ensure HR have up to date on all bookings at all times, and escalate any issues appropriately

 

Finance

  • Run weekly & monthly reports for forecasting & actuals spend

  • Ensure finance have up to date & accurate data for all talent spend

  • Manage invoicing process via our bookings tool

 

Process

  • Liaise with Head of Ecomm Production & dept heads on workload capacity and prioritization

  • Run the talent inbox, answering queries and escalating as needed

  • Work into existing processes and be willing to support the creation of & trial new tools/processes (with Creative Services Director)

 

 

 

Additional

  • Become an expert user of the platform that we use for bookings

  • Provide admin support as required.
